HR Handbook Highlights

Purpose:  1) define the Law Firm’s standard operating procedures; 2) provide information on employee work rights; 3) identify the rational reasons the Law Firm can fire an employee at will 

Disclaimer: Does not constitute an expressed or implied contract.  Commonwealth of Virginia at will employment laws are intact.

SOPs:

1.     Non-disclosure of all client information applies to all employees [and contractors if signatures on an NDA]

2.     Employees agree to non-compete

3.     US Laws posted & policy statements:  Equal Employment Opportunities, Anti-Harassment and Sexual Harassment Policy; Workplace Violence Policy; Americans with Disabilities Act policy; Work place safety; Conduct and Work Environment; drug and alcohol; conflict resolution; OSHA

4.     Law Firm Office Procedures

a.     9 – 5 Monday thru Friday with all Federal holidays off

b.     40-hour work week expected with constant coverage of office required (staggered lunch hours)

c.      2 –week paid vacation a year; additional vacation in a non-paid status and by request to an equity partner

d.     Flextime approved by an equity partner and only if the 9 – 5 office hours are otherwise covered by another employee

e.     Overtime is not authorized by full time employees

f.      Absences IAW Family and Military Leave Act will not be counted against the Leave without pay of more than 5 days

g.     Paid time off will be authorized by an equity partner on a case by case basis

h.     Tardy work habits will be compensated by flextime and only on approval by an equity partner

i.       Family and Bereavement leave must be coordinated and approved by an equity partner

j.       Jury duty and military reserve/guard duty will be accommodated and pay for those days negotiated by an equity partner

5.     Client Billable Hours           

a.     Employees required to use a time management system to log all hours

6.     Pay, Compensation, Work tools, benefits

a.     Law Firm provides all computers and equipment for work

b.     Performance reviews are annually and raises will be at the descretion of the equity partners

c.      Health club refunds of $40 a month is provided if member has a health club membership

d.     Disability insurance (short and long) will be provided in January 2012

e.     401K plan will be provided in January 2012

f.      Medical – the Law Firm does not provide medical insurance at this time.

7.     Emergency procedures

a.     In the DC area, follow all federal, state, local commuter instructions and office closures.

Employees sign:

1.     1) a NDA statement and

2.    2)  an understanding of the at will nature of employment in the Commonwealth of Virginia

3.     3) Non-compete, NDA, Proprietary Client Information agreement
